Position Summary


New York City’s innovative and dynamic Orchestra of St. Luke’s seeks an experienced and strategic finance executive to join its senior management team as Vice President of Finance and Administration. 


Reporting to the President and Executive Director, the Vice President of Finance and Administration directs the financial affairs of the organization, provides strategic leadership as the organization builds on five decades of business and artistic growth, and is responsible for administrative infrastructure.


Working closely with the President and Executive Director, Senior Management, and Board Leadership, the Vice President of Finance and Administration is responsible for Orchestra of St. Luke’s financial operations, budget, accounting and financial reporting, analysis to inform strategic decisions, cash flow and liquidity, investments and banking relationships, external audits and tax filing, risk management, financial systems, internal controls, compliance, and managing the finance department personnel.  


Further responsibilities include the organization’s human resource functions, information technology, and the smooth functioning of Orchestra of St. Luke’s offices at 450 West 37th Street.


The Vice President of Finance and Administration is an officer of the 450 West 37th Street Condominium Board of Directors, which oversees building management of the two-unit condominium comprising DiMenna Center for Classical Music and Baryshnikov Arts Center.


Summary duties and responsibilities


Finance:


  • Strategy
  • Provide President and Executive Director, Senior Management, and Board Leadership with financial guidance on organizational strategy.
  • Work with Department Heads to align financial strategy with operational needs and artistic vision.
  • Keep key stakeholders current with the organization’s financial health.
  • Lead efforts to efficiently achieve the growth necessary for mission and business sustainability and flourishing.
  • Facilitate cross-departmental coordination in matters pertaining to finance, business systems, and human resources.


  • Budget
  • With President and Executive Director and Department Heads, produce annual organizational Budget
  • Track annual progress on goals through regular updates and quarterly reforecasts
  • Devise and maintain long-term financial model to reflect revenue and expense changes and trends


  • Financial operations management:
  • Accounts Receivable and Accounts Payable:  Oversight and segregation of duties per good practice
  • Payroll:  Authorize payroll journals as prepared by staff
  • Bank accounts:  Manage transfers as needed to replenish Payroll Account and Operating Account; manage ACH autopay authorizations and fraud protections
  • Investment accounts:  Manage transfers as needed, oversee receipt and allocation of stock gift proceeds, calculate and manage annual endowment appropriations, rebalance investment allocations according to investment policy
  • Credit card accounts:  Oversee expense reporting and reconciliation; manage and maintain individual card spending limits; research and purchase air travel tickets with Amex points


  • Annual financial audit:
  • Prepare pre-audit documents, schedules, and worksheets as requested; manage fieldwork interaction with supervising auditor; generate functional expense and other schedules; interact with audit partners on final format and presentation
  • Manage annual discretionary releases from temporary restrictions and calculate appropriations from/additions to the board-designated Artistic Excellence Fund and Strategic Action Fund


  • Executive, Board, and Committee liaison:
  • Executive Director:  Weekly updates on financial condition and ongoing financial and HR issues
  • Finance Committee:  Support quarterly meetings (updates on statement of financial condition, statement of activities actual versus budget, investment report, etc.; present draft budget for review in advance of June Board meeting); minutes
  • Audit Committee:  Support two to three meetings per year; minutes
  • Board at large:  Report as needed; as Board Secretary, keep meeting minutes

 

Administration


  • Department staff:  Supervise Finance and Business Administrator


  • Cross-departmental interaction:  
  • Develop and foster cross-department alignment in financial and infrastructural matters
  • Support the integration of database functions between Marketing and Development


  • Human Resources
  • Oversee HR functions 
  • Employment policies: Periodic and as-needed updates to the Employee Manual
  • Compensation: Track employee Compensation and peer comparables to inform salary budgeting
  • Benefits:  Annual selection of healthcare and related insurance policies; annual calibration of employer-paid health reimbursement arrangement
  • Oversee employment law compliance (posters, notifications, etc.)
  • Oversee hiring process for policy compliance (job descriptions, postings, interview policies), onboarding, terminations, accommodation requests, and associated legal issues
  • Primary contact for insurance broker, HR consultant, and employee benefits consultant 


  • Legal representation liaison


  • Support and serve on management’s negotiating unit for CBA negotiations with Local 802


  • Office and IT
  • Oversee IT administration for a staff of 25+ with hybrid office and remote schedules, including data security, computer and software purchases and updates
  • Oversee office management (office supplies, phones, office machinery, printers etc.)
  • Manage contracted IT service providers
  • Oversight of internal data management practices on shared servers across administrative function
  • Provide planning and leadership for OSL administration to keep pace with technology advancements in the field
  • Manage office lease renewal process every five years
  • Manage Storage spaces leases and oversee occasional material consolidations and space moves.

 

  • West 37th Street Condominium 
  • Officer of the four-person Condo Association Board of Directors, toggling annually between Treasurer and Secretary roles
  • Provide oversight of budget, finance, HR for Condo employees, operations policies, insurance selection


  • Qualifications
  • Deep understanding of non-profit accounting, budgeting, GAAP, and cash flow
  • Ability to analyze financial data and think strategically 
  • Excellent analytical and problem-solving skills
  • Strong management and negotiation skills
  • Excellent oral and written communication skills
  • Experience in performing arts administration (preferred)
  • Familiarity with classical music (a plus)
  • CPA and/or MBA (preferred)


Salary Range

$150,000-$175,000
