Assistant to Friedrich Petzel, Gallery Owner
Petzel is a contemporary art gallery based in New York with an eclectic program of international artists, all of whom are critically acclaimed for their distinct creative processes. Petzel operates out of the heart of Chelsea at 25th Street.
Overview
Reporting to Friedrich Petzel and the Gallery Manager, the Assistant to Friedrich Petzel will act as personal and professional assistant to the Gallery Owner. The Assistant to Friedrich Petzel will represent the owner by overseeing all correspondence and planning as it relates to his calendar. The Assistant to Friedrich Petzel will gain experience in a full breadth of the gallery’s creative and practical needs and will have an opportunity to work closely with artists, clients, museum professionals, and exhibition planners.
Core Responsibilities
- Provide general administrative support to Friedrich Petzel, Gallery Owner
- Manage the Gallery Owner’s personal and professional calendar, anticipating and adapting to potential changes to the schedule
- Create travel itineraries, including flight and hotel plans, car rentals, and appointment confirmations for Gallery Owner
- Coordinate meeting arrangements with artists, colleagues, and clients
- Create schedules and agendas for upcoming events, openings, and studio visits
- Coordinate with the Gallery Manager to ensure that the exhibition calendar correlates with the Gallery Owner’s travel schedule
- Correspond with clients, vendors, and Petzel staff on behalf of the owner
- Alert Gallery Owner’s clients to gallery openings and events
- Manage Gallery Owner’s personal art collection and track potential auction acquisitions
- Research and prepare sales offer packages and sales PDFs
- Assist with organization, planning and execution of exhibitions
- Assist in the production of exhibition overviews and promotional materials
- Create reports on auctions and art fairs
- Process documentation for sales, consignments, loans, and shipping
- Collaborate with Sales Assistants to create guest lists, invitations, and logistics for openings and receptions
- Assist in staffing, planning, and managing events including all exhibition openings, press previews, and events
- Supports front desk staffing as needed and aid Gallery Assistants in the daily administrative and operational needs of the gallery
Qualifications
- At least 2 years of experience in a commercial art gallery with a focus on sales
- Familiar with Microsoft Office Suite and Adobe Creative Suite, specifically InDesign
- Excellent written and verbal communication skills
- Precise attention to detail, strong organizational skills, and independent work ethic
Preferred Skills
- Proficiency in a foreign language
- Familiarity with Artlogic
- At least 1 year of experience as an administrative or personal assistant
Schedule
Tuesday- Saturday, 9:45am- 6:00pm*
*Must be available for gallery installations, openings and other events as needed, which may take place over weekends or fall outside normal gallery hours.
