Jack Shainman Gallery seeks an organized and experienced individual to work alongside senior gallery staff in all aspects of day-to-day operations. This multifaceted position requires poised and professional demeanor, both in person and on the phone. An informed familiarity with the art world, strong writing and speaking skills, and an ability to work calmly and efficiently in a fast-paced demanding environment, while maintaining a high level of accuracy, are critical attributes of successful candidates.
Rigorous attention to detail and the ability to proactively problem solve pertain to all tasks associated with this position, particularly while assisting Directors with email correspondence, presentation preparation, exhibition oversight and travel planning. Gallery Assistants are expected to quickly discern, manage, and execute the nuances of these important gallery responsibilities while simultaneously interfacing with most, if not all, gallery visitors daily.
Responsibilities include, but are not limited to:
- Acting as the first point of contact for gallery visitors and clients, providing them accurate information about
current and forthcoming exhibitions, ensuring didactic materials are stocked, and maintaining a tidy appearance
at all times
- Tracking daily visitor count, adding emails from the visitor log to gallery contacts, and general database
maintenance
- Answering all incoming telephone calls quickly and confidently, directing them internally or taking accurate
messages
- Overseeing the general gallery email inbox and calendar, disseminating daily schedule updates gallery-wide
- Accepting, sorting, and distributing incoming mail, and assisting with the preparation and sending of mailings
and packages to artists, clients and curators
- Managing book sales and handouts at the front desk, and assisting the Archives Department in tracking book
inventory
- Tracking artwork availability, maintaining up-to-date checklists, pricelists and online private viewing links
- Maintaining, organizing and ordering kitchen and office supplies and equipment
- Liaising with vendors such as the IT and telephone companies for equipment maintenance
- Maintaining extended availability to work openings and special events as needed
- Booking transportation and accommodations for Directors traveling to external exhibitions and art fairs
- Assisting the Sales Department and Gallery Associates with overall general administration as needed
Successful Gallery Assistants are highly motivated and hard working with the ability to handle whatever tasks are put before them efficiently and well. It is understood the position is very demanding. Professional conduct and a positive attitude are integral to success.
Candidates should have a minimum BA in Art History or related field and prior administrative or gallery experience. Experience with Artlogic or similar art database programs is preferred. Fluency with Microsoft Office is required, and proficiency with Adobe Creative Cloud programs is not required but welcome. Availability to work Tuesday–Saturday from 9:45am to 6:15pm in person between our Chelsea and TriBeCa locations is required. Candidate must be able to lift 35lbs.
