At Culture Lab LIC, we are not only hiring a new Operations Director, we are looking for a team player to join our small but mighty crew during one of the most exciting times in our organization's history. Responsibilities: 


General Operations

  • Ensure financial and operational viability, sustainability and development of Culture Lab LIC, legal and fiscal compliance, and best practices in governance and management
  • In partnership with the Executive Director, provide organizational leadership for Culture Lab LIC  
  • Develop and implement strategic and financial plans in partnership with the Board and the Executive Director 
  • Report directly and regularly to the Board of Directors 


Development 

  • Develop and execute a fundraising plan and long-term goals that include cultivating and maintaining diverse donation streams from a variety of sources - government (national, regional, local), foundations, local businesses, individual contributors, corporate sponsors/partners
  • Lead foundation and government grant writing and reporting, including proposals, budgets, and supplemental materials, while also researching opportunities for new foundation support; acts as the point person for communication with funders
  • Maintain relationships with current funders, including filing reports on grants received
  • Cultivate new donors, evolve partnerships with existing donors, and research prospective donors
  • Generate strategies for donor cultivation and individual donor campaigns
  • Oversee the maintenance and evolution of the organization’s development databases (individual contributors, members, corporate sponsors, etc), including keeping records and gift entries current
  • Work alongside the Executive Director to effectively represent Culture Lab LIC in establishing successful relationships with funders, donors, government, corporations, and foundations
  • Plan, fundraise for, and execute all fundraising events such as the Funky Formal, annual Gala, and Supporter Soirée - with the support of staff and board


Finance 

  • Prepare, track, and update the annual budget for review by the Board of Directors
  • Ensure that Culture Lab’s operations comply with the agreed-upon budget
  • Assist Treasurer in the preparation of financial reports, annual audits, and federal/state/city tax filings
  • Maintain QuickBooks, including invoicing and bookkeeping
  • Develop and maintain compliance of accounting systems and controls
  • Establish and maintain accounting workflows related to specific revenue streams (Square POS, Paypal, Wild Apricot) 
  • Oversee A/R, A/P, contributions, deposits, bank and credit card reconciliations
  • Prepare monthly financial reports, cash flow projections and long-term forecasts as needed
  • Prepare financial information for grants as needed
  • Provide any other financial information as required by the Board of Directors


Administration & HR 

  • Prepare and process bi-weekly payroll
  • Prepare and update the employee handbook as needed 
  • Administer employee benefits 
  • Work with the Executive Director to ensure that Culture Lab’s employment policies and reporting are consistent with all rules and regulations in the State of New York and the City of New York
  • Establish HR processes, including hiring and onboarding procedures for seasonal and part-time employees
  • Drafting weekly schedules for all paid staff
  • Work with Company insurance broker to maintain adequate general liability insurance coverage, as well as any other required insurance coverage
  • Negotiate, prepare, and track the compliance of all contracts
  • Lead the preparation of any and all necessary permits from the City or State


Skills and Qualifications:

  • Bachelor’s degree in a related field 
  • 3-5 years in related leadership positions, especially in the nonprofit industry 
  • Strong analytical, communication and interpersonal skills 
  • Experience with Quickbooks, ADP, Excel/Google Sheets, Google Suite, Square, Asana, and CRM platforms
  • Strong project management and presentation skills 
  • Experience in fundraising especially grant writing and corporate donor development 
  • Business-oriented individual with strong negotiation skills and leadership qualities
  • Ability to multitask and delegate in high-volume, fast-paced environments
  • Highly organized and detail oriented, with a demonstrated ability to manage multiple priorities and projects
  • Passion for the Arts! 


Salary/Benefits: 

Salaried, exempt, full-time, $60,000-$70,000 annual salary, plus 80% health insurance paid by Culture Lab LIC


Schedule: 

Roughly Monday through Friday 10AM-6PM with some nights and weekends required, Hybrid schedule with approximately 50% in-office and 50% remote work.


About Culture Lab LIC:

Culture Lab LIC is a 501(c)(3) formed to be the arts and culture umbrella for Western Queens. We present local, national, and international art of all genres, while supporting New York artists and other nonprofits by providing space, resources and a sense of community. 

Operating out of a 12,000 square foot converted warehouse, Culture Lab LIC hosts two fine art galleries, an 80 seat theater, classroom space, an 18,000 square foot outdoor venue, and a robust residency program. Culture Lab LIC is dedicated to honoring and upholding equity, diversity and inclusion across all platforms and being a house and haven for artists and people from all backgrounds, identities, and cultural representations - striving to always be a true representation of the World’s Borough.
